Act Five is seeking an Admissions & Recruitment Coordinator to begin work with Act Five as of May 1, 2025. This is a part-time (beginning at 50%) salaried position.

Introduction to Act Five

Act Five facilitates the Christian discipleship of young people, preparing them for rooted & engaged lives. We are committed to the Christian formation that happens through intentional communities of learning & practice, and we are excited by how young people have been led and shaped through this community over our first six years.

Based out of Hamilton, ON, Act Five is moving toward its seventh program year in Fall 2025. Act Five operates out of a large home in a downtown Hamilton neighbourhood, running a Gap Year program and a Residency program as well as other initiatives, including public educational events, hosting service trips and a podcast.

What is the Admissions & Recruitment Coordinator Role?

The Admissions & Recruitment Coordinator (ARC) works as one of the key front-line representatives of Act Five with respect to prospective students, their families, and contacts in churches, schools and those inquiring about Act Five. The ARC will be supervised by the Act Five External Initiatives Lead to carry out and administer Act Five’s recruitment strategy for its core programs. This primarily includes recruitment for Act Five’s Gap Year program, as well as considerations for Act Five’s Residency and Summer Programs. The ARC is responsible for various efforts directly related to meeting enrollment targets for each year, is the main resource for Act Five applicants and leads, and is responsible for the application process, guiding applicants toward becoming students or residents.

What does the role include?

The ARC role includes the following, with support and supervision from within the Act Five staff team. 

  • Operations & Communications:
    • Implement communications plans to build and follow-up on relationships with prospective students.
    • Organize and coordinate the development of promotional materials including print materials, clothing, giveaways, etc.
    • Plan, coordinate and execute recruitment events for interested students to experience Act Five.
    • Review and maintain recruitment-related areas of the Act Five website, keeping it up to date.
    • Email and communicate with Act Five leads; reply to inquiries and direct people as needed from the info@actfive.ca email account.
    • Document all applicant/prospect information, organizing these and other contacts (e.g. event registrants, alumni) within Act Five’s CRM (data management system).
  • Recruitment & Outreach
    • Work with the External Initiatives Lead to implement long-term recruitment plans, including relationships with key high schools and church partners, and participation in external events.
    • Coordinate attendance of visits and event attendance for Act Five. The ARC will carry out a number of visits while also sharing and coordinating this responsibility with other members of the Act Five staff team.
    • Maintain an annual recruitment and outreach calendar considering deadlines and other organizational commitments and busy seasons.
    • Inform social media strategy and content to push applications.
    • *Anticipated for 2025: Coordinate Alumni Ambassadors to carry out key areas of Act Five’s recruitment & outreach efforts.
  • Admissions Counselling
    • Guide prospective gap year students (and possibly residents) through the admission funnel with the ultimate goal of students matriculating.
    • Manage the application process. This includes maintaining and editing the application form, pushing it out to leads, receiving applications, reviewing for completeness, conducting interviews, and connecting with applicants to complete processes.
  • Enrolment Coordination
    • Prepare incoming students and residents for entry to Act Five, along with the Act Five Program Manager.
    • Maintain all reply forms (housing forms, waivers, other required information), reviewing these and sharing with necessary team members.

Compensation Details:

The Admissions & Recruitment Coordinator will receive a starting salary between $21,000 and $23,000 for 50% employment.

Qualifications & Requirements:

  • Experience demonstrating strong interpersonal skills with a range of groups (parents, pastors, teachers, youth).
  • Ability to listen and respond well to others’ needs, communicating clearly and excellently in a way that discerns well the needs of others, both verbally and in writing.
  • Understanding young (Christian) adults and their cultural context; able to formulate clearly and concisely how Act Five fits into a young person’s hopes and plans.
  • Commitment to the Christian life and to live out the mission and vision of Act Five; and an ability to effectively articulate this to others unfamiliar with Act Five.
  • Ability to be flexible and adaptive to plan schedule around a range of visits and events.
  • Ability to be organized, manage stress and to work effectively within a dynamic staff team engaged in a range of areas for a young organization.
  • Ability to organize contacts and communications within a CRM software, considering how data might support your work.
  • Understanding of / willingness to learn modern communications and technology – including social media, CRM software, Google apps.
  • Relevant experiences: completion of Act Five as a student, resident, staff; or related experiences that might prepare you for the role and benefit Act Five.
  • A valid driver’s license and are willing to travel on Act Five business, including weekends and evenings (approximately 6 to 10 weeks per year)
